Terms of Engagement

Please read these terms carefully. They tell you who I am, how I will provide Services to you, what to do if there is a problem and how the Contract between us can change.

Definitions

“Contract” means these terms and conditions the content of which may vary from time to time;

“Ewbank Psychotherapy”, ‘I’, “Me” and ‘Your Therapist’ are used interchangeably and relate to the Service that I will provide to You;

“Service/s” means the therapy engagement sessions I will provide to You;

“You”, “The individual” and “The Client” are also terms used interchangeably and relate to the individual receiving the Service/s if aged over 18 years or the parent/guardian of the individual receiving the Service/sif aged under 18 years;

Who I Am

I am Ellie Ewbank, Trading as Ewbank Psychotherapy (UK). Further details are available to view on my website.

The Services I Offer you and my promise to you

I offer access to therapy sessions, paid for in full on a session by session basis with myself (a BABCP-accredited CBT therapist).

I use feedback from client interactions, standardised scales/measures to make recommendations on how you might make changes that could lead to a more fulfilled life. To find out more on how I use your data please take a look at my Privacy Promise on my website.

I promise to treat everyone with respect, courtesy and fairness. I expect you to do the same and treat me as you’d like to be treated. You should recognise that inappropriate, abusive and violent behaviour could result in you being refused access to therapy services.

Who Can use my Service

To be a client of Ewbank Psychotherapy you must be a United Kingdom (“UK”) resident, have an email address, registered General Practitioner (“GP”), and have access to the public internet. If you are not a UK resident I will need to assess if I can safely work with you, please contact me for further details.

My Contract with you

When you register with Ewbank Psychotherapy, you will be asked to confirm you agree to these terms and conditions of Contract. By completing the client registration form, you are agreeing to these terms and conditions and the Contract between us commences. I will stop providing Services to you when one of us ends the Contract in accordance with these terms and conditions. Ewbank Psychotherapy has the right to deny treatment or cancel their Contract with any individual at their discretion.

Advice

If you have sessions with a therapist, you will get psychological advice. It is up to you if you wish to accept and act on the advice that you are given. I accept no responsibility as to the effectiveness, or otherwise, of this advice and you are under no obligation to follow the advice.

Your therapist is required to uphold the standards of their professional body (BABCP), However, there is no guarantee provided by Me that your sessions will help you achieve any particular objective or outcome.

Your Therapist

Your Therapist is accredited by the British Association for Behavioural and Cognitive Psychotherapies (BABCP). They are DBS checked, have regular and current training, are individually insured (professional liability insurance) and licensed by the Information Commissioner’s Office (ICO) to hold and create client records.

In order to provide the Service Your therapists uses regular clinical supervision. No personal data is shared.

Confidentiality

Confidentiality is maintained throughout the Service. There are limited circumstances in which Your Therapist has a legal, professional or ethical obligation to provide information to a third party, such as in cases where someone is at risk of being harmed in some way (“the exception/s”). If you are referred to us by another health professional we will inform them that you are working with us. Any more detailed information would only be shared with your consent. Ewbank Psychotherapy knows that collaborative care yields the best results. If you consent to the sharing of information with your care team (psychiatrist, GP or other), I will use secure methods to communicate with your care team.

If the client is under 18, It is essential to protect a trusting therapeutic relationship by establishing boundaries with disclosure. I do not routinely share with you information from my sessions with your child, unless your child consents to and, if possible, is party to that disclosure. This is subject to the exceptions concerning risk detailed above, and will depend on the nature of each individual case that I work with, in addition to the child’s age. It is good practice when working with children and young people to involve parents in some way, where possible. I consider this balance when working with your child.

For clients professionally referred, there is the option to receive copies of reports written by Your Therapist. These reports are to be treated in confidence and are not to be duplicated by you or posted/shared/dispersed to anyone else or on to any media platforms for the wider public to view. This is for your protection as well as the professionals involved in your care.

I store all data you enter on practice management software in order to best safeguard the content.

Access to Your Health Records

You can request access to your health records, called a ‘Subject Access Request’ by emailing info@ellieewbank.co.uk. I will respond to your request within 30 working days.

Communications in support of the Service

Ewbank Psychotherapy has 3 types of communications:

1. Initial communications to understand your requirements for therapy, and support with any questions once you have started therapy. This is an essential part of my Service.

2. Those that are specific to you and tailored for you based on your interactions with Ewbank Psychotherapy. These may include (but are not limited to) arranging appointments or sharing therapeutic resources. I will never include any sensitive personal information in these communications. These messages are an essential part of my Service.

3. Reports/correspondence with other professionals involved in your care, and with insurance providers. This is an essential part of my Service.

I will contact you only through the channels that you have provided. I am bound by laws that control what and how I can communicate with you.

Client Registration

Ewbank Psychotherapy is required to collect some personal information about you in order to work with you safely and effectively. You cannot start therapy engagement until I have these details.

Fee Schedule and Payment Terms

For up-to-date information on my fees, please visit my website. These fees are accurate from 1st April 2024 until further notice.

1. Face-to-Face and Telehealth Sessions – Sessions are charged at the following rates:

a. £110 for adult (18+) CBT Sessions (50 minutes)

b. £120 for under 18’s CBT sessions (50 minutes)

Longer sessions or bespoke services can be negotiated and charged accordingly at the above session rate.

2. Telephone Calls – Calls of less than 10 minutes will not be invoiced. Those lasting longer will be charged in 10-minute blocks at the hourly rate.

3. Reports and Letters – Assessment and Discharge reports are provided as part of standard practice and are not charged. Therapeutic letters, where they form part of a client’s therapy, are similarly not charged. Requests to send reports to third parties in addition to the standard assessment and discharge reports will incur a fee. The fee reflects the time taken to prepare the report, and follows the same schedule for the telephone sessions.

If requests by a client lead to services that incur additional fees (other than the session charge), the client will be made aware beforehand.

It is your responsibility to pay any invoices 28 days from the session date. Any invoices will be backdated to the date of session. You are required to pay for Your Therapy sessions in line with the payment terms set out on the invoices I send to you. Failure to do so may lead to me suspending future therapy. If you are having problems paying your invoices please let me know as soon as possible.

Cancellations

Clients (including parents/guardians of clients aged under 18, and carers) can cancel or postpone a therapy session up to 2 working days before the session is scheduled to take place (excluding weekends). If you miss your session, or give less than 2 working days’ notice of cancellation, you’ll be charged, and be liable for, the full price of your session.

If you intend to use private medical insurance to fund your appointments, you will need to inform your Insurance Provider who Your Therapist will be so that invoices can be recognised and processed. You are responsible for informing your insurance provider of my fees. You are responsible for informing me that you will be funding through insurance, so I can ensure that you are fully aware of my registration status with your Insurance Provider. Please note some Insurance Providers do not provide cover for missed appointments or late notice cancellations of sessions, or additional charges. You will be responsible for the payment of any fees (full or part thereof), shortfalls or excess amount not covered by your policy.

Scheduled Appointment Times (Face-to-Face only)

I ask that clients do not arrive more than 5 minutes before their scheduled appointment time, to protect the confidentiality and privacy of all clients.

Scheduled Appointment Times (Remote only)

Clients are expected to arrive on time for their appointment. In the event that they are late without prior notice, the clinician will wait in the telehealth appointment for 15 minutes. They will then leave the appointment and record this as a ‘did not attend’. Clients will be notified by email once if they are late for an appointment, and once when the 15-minute window has passed.

Out of Session Contact

Ewbank Psychotherapy is contactable during clinic hours (10:00-16:00 Monday, Tuesday, and Thursday) by email and work mobile telephone. If your call is unanswered, I am likely in a session with another client. Please leave a message and I will get back to you as soon as possible. My phone will be switched off and diverted to voicemail after 16:00 hours each working day until 10:00 the next clinic day (or Monday if left over the weekend).

I do not provide a crisis or emergency support service, and am not available 24/7. I help clients through booked psychological therapy sessions. If you need urgent support, are in a life-threatening situation or cannot keep yourself safe, you should follow the following advice:

Call the NHS on 999 if you are hurt or know someone who is hurt. Alternatively if you feel that your life is at risk you can go directly to A&E to speak with a mental health professional. If you need urgent care but it is not life threatening, call 111 to speak to a mental health professional. You can also contact your GP for an emergency appointment. In a crisis, you should be offered an appointment with the first available doctor.

Any Issues

Sometimes Your Therapist may be delayed or miss sessions for reasons they can’t control. If this happens, they will contact you as soon as possible to let you know and they will take steps to minimise the effect of the delay. Provided they do this then they will not be liable for delays caused by the event. You may contact me to receive a refund for any Services you have paid for but not received.

I will not issue any refund if you are not able to access therapy sessions because of technical issues with your equipment or your public internet connection.

Some Necessary Final Details

This Contract is between you and Ewbank Psychotherapy. It is private and no one else has any rights to enforce its terms. I have the right to change or amend the terms of this Contract at any time, however we will notify you of such changes by way of updates to these terms on my website. It is your responsibility to regularly check these terms and make yourself aware of any changes. Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

If I do not insist immediately that you do anything you are required to do under these terms, or if I delay in taking steps against you in respect of your breaking this contract, that will not mean that you do not have to do those things and it will not prevent me taking steps against you at a later date. For example, if you miss a payment and I do not chase you, but I continue to provide the services, I can still require you to make the payment at a later date.

These terms are governed by English law and you can bring legal proceedings in the English courts.

If you are ever unhappy or dissatisfied by your experience with Ewbank Psychotherapy, you can always let us know at info@ellieewbank.co.uk. You can find my Clinical Compliments, Complaints and Feedback Policy on my website. I will do endeavour to resolve your issue and make sure it does not happen again.

If I fail to comply with these terms, I am responsible for the direct loss or damage you suffer that is a foreseeable result of breaking this contract or failing to use reasonable care and skill, but the maximum amount of my liability per event will be  equal to the session fees that you have paid Ewbank Psychotherapy over the period

of the event. I do not, however, exclude or limit my liability to you where it would be unlawful to do so.
